AR/AP reconciliation automation: a practical guide

How to reduce manual invoice matching, payment reconciliation, and aging work without losing control of exceptions.

Talha Ansari··2 min read

Key takeaways

  • Start with a clean invoice, payment, and customer/vendor key.
  • Automate matching and exception reporting, not blind write-offs.
  • Keep a human review step for unmatched and partial payments.
  • Aging should be produced from the same reconciled data.

Map the current reconciliation

Write down how invoices, payments, credits, and adjustments currently flow. Identify where the data is stored, who matches it, and how exceptions are handled.

Most AR/AP problems are not caused by a missing tool. They are caused by inconsistent keys, partial payments, or a process that lives in one person’s head.

Create stable keys

Matching works best when invoices, customers, and payments have consistent identifiers. Clean the customer or vendor names, use invoice numbers consistently, and handle partial payments explicitly.

If the source systems do not share a key, build a mapping table and document it. Manual matching is sometimes necessary, but it should be the exception, not the default.

Automate matching and exceptions

The automation should match exact payments, flag partial payments, and list unmatched items with enough context to investigate. It should not silently write off differences.

A good exception view is more valuable than a perfect match rate. The team needs to see what requires attention and why.

Rebuild aging from the reconciled data

The aging report should use the same matched data as the reconciliation. If the aging is built from a different export, the two reports will tell different stories.

Include current, 30, 60, and 90+ day buckets, plus the customer or vendor contact and the last action taken.

Add controls

Keep a log of matches, adjustments, and write-offs. Review large or unusual adjustments separately. The process should be auditable without opening every spreadsheet tab.

A monthly reconciliation summary is useful: opening balance, additions, payments, adjustments, and closing balance. It gives finance a clear trail.

Frequently asked questions

Can AR/AP reconciliation be fully automated?+

Exact matches can often be automated. Partial payments, disputes, and unusual adjustments still need review.

What is the biggest cause of reconciliation problems?+

Inconsistent customer, vendor, or invoice keys. Clean identifiers and a mapping table solve more problems than a new tool.

Should aging be part of the same report?+

Yes. Aging should be built from the reconciled data so the balances and the aging buckets agree.
